Payroll Batch Authorisation

This screen is only accessible to users having authorisation rights over other users with controlled access for the same accounts. This screen displays all of the transactions from the payroll payments that require authorisation.

Authorisation Process

• Select Account: Select the account you require from the drop down list. Note: if you cannot see the account number, make sure the correct CIF (Customer Interface Number) is selected on the dashboard home page.
• Click View on the batch you require to see the individual transactions.
• In batch authorisation the batch should execute with all payments. You have the option to select which transactions you want to decline. If you don t select to decline a transaction then it means that all payments are submitted for approval.
• You have the option to mark each transaction as Approved or Declined by clicking on the available check boxes on the right hand side of each transaction line. Or you can Decline All or Approve All.
• Signatures If you approve a transaction that requires more than one signature, the transaction will stay pending for approval until the transaction has been approved by the required number of signatories. The number of signatories left to authorise the transactions are shown in the signatures column.
• Click Submit.
• You will now move to a confirmation page where you can review the details.
• To complete the process click the Confirm button.
• Upon successful submission a message will be displayed on your screen with the transaction status.
• The transaction status can be checked on the Batch Transaction Status Screen. When searching for batches, please note that the date is when the batch was created. Declined transactions will have the status Declined. Transactions that have completed approval will have the status Pending or Submitted until the batch has completed submission to the core banking system.

  This screen provides a register for all of the electronic transactions placed by the user through the Payroll Payments in the eBanking. You can view a list of the transactions but you cannot modify the information.

  Transaction Status

  The Status column shows the up-to-date status an each specific transaction. The status of the transaction, depending on the system’s status (online/offline) may vary see What does the Transaction Created message mean?. The most frequent status types currently available are:

  The Transaction Created message has two different meanings depending on the system status (shown in the message area of all pages).

  When the system status reads Online

  • The Online Banking System is able to process payments in an online/real-time environment.
  • A payment processed while Online is posted immediately in the involved Bank account and it is reflected in both account balances and the account statement.

  When the system status reads Transit or Offline

  • Your payment is marked as Pending. The Internet Banking System can only mark your payment as an instruction for the next Online period.
  • The payment is processed in the next available working-hours (next available Online). The successful posting of the pending payments is always subject to the available balances of the involved accounts.
  • It is strongly recommended to always check the posting result of the Offline payments using the Online Transaction Status screen.

  • Pending for Approval The transaction was created but approval is needed.
  • Declined The transaction was Pending for Authorisation and a user with authorisation access declined the transaction.
  • Pending These are transactions that have not yet been posted to the core banking system.
  • Submitted Sent from NETteller to the core banking system but no response has been received from the core banking system yet.
  • Completed Sent from NETteller and fully processed by the core banking system and applied to the account. All accounting/onward processing complete.
  • Accepted Sent from NETteller and imported into the core banking system.
  • Rejected Transactions that have been rejected from the core banking system.

  Process Options

  • Account: Select the Account you wish to view from the drop down list.
  • Select the From Date and To Date.
  • Click Search.
  • The system will retrieve the relevant batches.
  • Note: Transactions that are pending for approval and require authorised signatories will be shown under the signature column.
  • Click View, to view the transaction details.
  • Click Dropped, to see what transactions were uploaded but did not complete in the system.

  Other Options

  • You can Print or Save the details by clicking on the print and export icons.
